Feature update: Keep donations when refunding for canceled registrations

When you cancel a registration and refund the online payments on it, Retreat Guru now lets you keep any donation included on that registration instead of automatically sending it back with the rest of the refund.

Feature highlights

  • When canceling a registration and refunding online payments, you’ll now see an additional checkbox (off by default) to refund donations.

  • Leave the box unchecked and only the program fee and other non-donation charges are refunded — the donation stays with your center.
  • This works for both full and partial refunds (if you choose to collect a cancellation fee), so you’re never forced to choose between processing a cancellation and holding onto a gift.
  • The transaction still shows in the guest statement as a donation.
  • NOTE! This feature is not compatible with "allow deposits on donations" setting. For donations taken at the time of registration, you must have the setting on to collect full donations at the time of registration.




What does this mean for me?

When guests add a donation on top of their registration fee, until now, canceling and refunding that registration meant the donation went back out the door along with everything else — even when the guest never intended for it to be refunded. Now you can cancel the registration, refund what’s owed, and leave the donation right where the guest meant for it to go.

No setup is required — this option is available now, automatically, wherever you already cancel registrations and refund online payments.
